Maintain an Active Issues List

Log problems the moment they come up, so the weekly meeting starts with a real list.

Problems surface at bad times: in a hallway, in a reply-all, ten minutes before your next call. If nobody writes them down, they come back three weeks later as if they were new.

In Business OS, an issue is any problem, idea or obstacle the team needs to deal with. Log it when it happens:

Armbrain, add an issue for Harbor Dental Group: new patient calls dropped at the east side office. Raised by Maya.

Armbrain shows you the issue and asks you to confirm before it saves it. Each issue keeps who raised it, its status, and the resolution once you solve it.

In the weekly meeting, teams work issues with a simple method called IDS: identify the real problem, discuss it, and solve it with a clear next step. Ask Armbrain for the open issues, pick the three that matter most, and work them in order. When one is solved, save the resolution. If it is not ready, defer it to next week.

Over a quarter, the list shows what keeps coming back. That is often where next quarter's rocks come from. Read the issues guide.

Try it

  • Armbrain, what issues are open for Harbor Dental Group, and who raised each one?

  • Armbrain, mark the Harbor Dental Group call volume issue as solved: we added an evening phone shift. Show me the change before you save it.

Prompt of the day

Update rocks and issues after the meeting

Change these first:

CLIENTCOMPANY = Harbor Dental Group Armbrain, take today's CLIENTCOMPANY leadership meeting, update the rocks and add any new issues. Show me every change before you save it.

Why it works: It turns the meeting into updated records in one step, and the preview means nothing lands on the list without your eyes on it.
