Armbrain vs ChatGPT Projects

A ChatGPT Project holds the chats, files and instructions you add. Armbrain collects each client's data and keeps it current. For fractional CMOs who set up one Project per client.

Short answer: a ChatGPT Project keeps a client's chats, files and instructions together, and project-only memory keeps it apart from your other chats. That separation is real. You still add the files and keep them current for every client. Armbrain connects to your tools once, then collects each client's meetings, email, calendar, files and CRM on its own, sorts them into that client's mind, and works overnight so your briefing is ready when you start. Armbrain works inside Claude; ChatGPT access is a limited beta for now.

Same Monday, two ways

You run six clients. Three have calls today. Here is how the morning goes.

With a ChatGPT Project for each client

  • 7:40. Open the first client's project. Its files are the ones you added last month.
  • Paste last Thursday's call notes into a chat. Upload the new proposal.
  • On Plus, a project holds 25 files, so swap out an old one first.
  • Ask what you promised this client last week. ChatGPT works from what is in the project.
  • Do it again for the second client. Then the third.
  • 8:55. Your first call starts in five minutes. You are ready, mostly.

With Armbrain

  • Overnight, Armbrain pulled in last week's call transcripts, new email threads, calendar changes and updated files, and sorted each one under the right client.
  • 6:00. Your morning briefing is waiting in your inbox, Slack or HQ dashboard: today's meetings, what came in, and what needs you.
  • Two promises have gone past due. Your HQ dashboard puts them at the top of the list.
  • Ask for today's prep and all three calls come back in one brief: who is in the room, open promises, recent decisions.
  • Ask for Friday's follow-ups and get drafts in your voice to review.
  • 7:40. Coffee. Read. Done.

The briefing time is a default you can change. Briefing sections need the matching tool connected (email, Slack or calendar). Whole-day prep needs Google Calendar connected.

Who collects your client dataArmbrain does, after a one-time connection for each tool. Meetings: Granola, Fireflies, Fathom, Zoom, Teams. Email and files: Gmail, Outlook, Google Drive, Dropbox, OneDrive, Notion. Calendar: Google Calendar (through your Google sign-in) and Outlook. CRM and projects: HubSpot, GoHighLevel, Pipedrive, Asana, ClickUp and more. Marketing numbers: Google Analytics, Mailchimp, Klaviyo, ActiveCampaign. No pasting. You do. “Projects keep related chats, files, and instructions together.”[1] Collecting from your other tools: Not a stated feature on the pages we checked.
Keeping it currentEach tool is re-checked on a schedule, for example Gmail about every 7 minutes and Granola about every 15 minutes, so each client's brain updates itself as new meetings and email land. You replace files as things change. Refreshing on its own: Not a stated feature on the pages we checked.
Sorting it by clientEach client gets its own mind. Email is routed to the right client within minutes. Notion pages go to the client you pick once. Anything Armbrain is unsure about waits in a review queue for you.One project per client, set up by you, with real separation: “Projects can use either default memory or project-only memory.” “Shared projects automatically use project-only memory and cannot access an individual member's memories or context from outside the project.”[1]
Work done while you sleepWorks overnight so your briefing is ready when you start. It flags overdue commitments. Your morning briefing arrives on weekdays at 6:00 your time by default, plus an end-of-day wrap, a Friday scorecard and a Monday sprint kickoff. You do not write prompts for any of it.Not a stated feature on the pages we checked.
What it remembersDecisions, promises, people and history from your meetings, email, files and CRM, kept per client. The chats and files in the project. “Project memory does not show a list of memories like personal memory.” “ChatGPT may use context from other conversations in the same project.”[1]
Meeting prepAsk for prep and get a brief with open commitments, recent decisions and who is in the room. Or ask for the whole day's prep once Google Calendar is connected. A brief only uses what is stored. Not a stated feature on the pages we checked.
Promises and follow-upCommitments from meetings and email are pulled out automatically and stay on a list until they are done. Extraction is automatic but not perfect. Ask for a follow-up and Armbrain drafts it in your voice for your review. Not a stated feature on the pages we checked.
Overdue items and quiet clientsOverdue commitments show up in your meeting prep and on your HQ dashboard. A weekly client health read on Thursdays flags clients who have gone quiet. Not a stated feature on the pages we checked.
Running the work (EOS)Built-in EOS tools: rocks, issues, scorecards, two-week sprints, L10 meeting prep, and quarterly planning and review decks. Not a stated feature on the pages we checked.
Brand bookA brand book for each client. Armbrain suggests lines from your notes, and you confirm, edit or reject them. Not a stated feature on the pages we checked.
Handing a client offPackage a client mind for a handoff, or export it. Drafting a handoff does not send it or grant access.Projects can be shared, and shared projects use project-only memory.[1]
SetupAbout 30 minutes. Many tools sign in with your account. A few need a key pasted once.Projects come with your plan: “access to projects is included with every qualifying ChatGPT plan.”[1]

Common questions

Does ChatGPT Projects collect my client data automatically?

No. You add chats, files and instructions to each project. Armbrain collects meetings, email, calendar, files and CRM records on its own after a one-time connection.

Is project-only memory enough to keep clients apart?

It keeps a project's memory apart from chats outside it, per OpenAI's help page. You still fill each project yourself. Armbrain sorts each client's incoming data into its own mind for you.

Does Armbrain work in ChatGPT?

Armbrain works inside Claude today. ChatGPT access is a limited beta for now, so plan on using Claude for client work.

How is this different from ChatGPT memory?

ChatGPT memory carries your own preferences across chats. See our ChatGPT memory comparison for that side.

How long does Armbrain take to set up?

About 30 minutes to connect your tools. After that, Armbrain does the collecting.

Keep your Projects if they help. Armbrain works inside Claude and does the collecting, so each client's memory stays current without you adding files. Setup takes about 30 minutes.
